JOB PURPOSE

Key accountabilities.

• Conducts the financial audit, reconciliation and end of day procedures. Verifies that all the accounting entries are managed in compliance with Company Standards and Procedures. This includes charges, voids, discounts, company accounts, onboard credits, taxes.

• Cash handling duties as required.

• Monitors guest payment methods and handles payment card authorizations. Follows-up on any outstanding guest.

• Provides information and general assistance to guests during the night shift, reporting to Guest Services Manager for all guest services matters. This includes both in-person guest interaction and via phone.

• Performs all necessary administrative tasks to assist finance and guest services department.

QUALIFICATIONS (skills, competencies, experience)

• High School certificate.

• Guest Services experience.

• Cruise industry experience is an advantage.

• Extensive experience with diverse Luxury/Premium hospitality.

• Excellent communication and customer care skills.

• Problem solving skills. Ability to work independently.

• Proficient in Computers & Microsoft Office Suite.

• Knowledge of Fidelio/Otalio Cruise System and POS systems is an advantage.

• Fluent English. Knowledge of any other European languages is advantageous.

ESSENTIAL FUNCTIONS

• Acts as a filter for guest complaints or concerns to Concierge;
• Ensures front desk logs and reports are maintained within Company Standards;
• Ensures guest requests are dealt with in a timely and efficient manner and that appropriate follow up is carried out;
• Post all gaming revenues and prizes to guest accounts;
• Post guest gratuities, and non-revenue gratuities and discounts to accounts;
• End of Day processes including but not limited to guest check collection, verification and filing, revenue center financial reports, prepare and complete income audits ensuring integrity of postings between Micros POS and Fidelio, post crew discounts to allowance accounts, destinations daily balance audits, casino counts and distribution of final audit papers to department heads and Chief Purser;
• Posting shipboard credits to accounts and processing additional credits issued by Concierge or Chief Purser from Amenity Databases, post art auction charges and post destination refunds;
• Ensure credit card routings are competed correctly by reception, sort, audit and file;
• Post Art Auction charges, Destination Refunds;
• End of Cruise Auditing, Micros Close Down, audit documents to chief purser, preparer cruise end filing, system account closing;
• Prepare Ship’s Customs Declarations for Second Purser based on information received from Bonded Departments;
• Preparation and distribution of preliminary invoices;
• Preparation of invoices for guests debarking prior to cruise end;
• Preparation and distribution of final invoices;
• Filing of system account checks with final system account invoices for Chief Purser eoc box;
• Balancing of amenity database and provision of back up to Chief purser;
• Continuously reviews open balance cash on last morning of the cruise and updates Chief Purser;
• Embarkation and debarkation duties (guest check-in);
• Ensures sufficient amount of printed matters available at all times;
• Logging guest issues in front desk logs and ensures follow up completed;
• Passes on queries from guests regarding on board account, amenities, shipboard credits flights etc.;
• Completes end of cruise filing and start of cruise docs are ready in accordance with guidelines from assistant purser
• Responsible for setting up guest account, cash payments and guest account queries;
• Providing US Dollars and foreign currency exchange services to guests;
• Providing Cash Advances and Foreign Currency Account Payments to guests;
• Safe Audits daily and foreign currency audits;
• Night Audit processes hereinbefore noted;
• Accounting duties as instructed by Chief Purser;

Job Description

To provide guests with friendly, personalized service during the night shift, reconciliation of all onboard accounting.

The Night Auditor plays an important part of the guest service team as they have direct contact with the guests. Apart from this they need to make on the spot decisions so satisfy guest requests and maintain the professional Seabourn attitude. The Night Auditor also needs to generate the important daily reports and ensure that all guest accounts are up to date.

Reporting relationships: The Night Auditor reports directly to the Chief Purser and supported by the Guest Service Manager.

Key Responsibilities

•  Become knowledgeable concerning all aspects of shipboard organization and services, ports of call and shore excursions.
•  Ensures a proper hand over from the day shift (Hand over book, important messages etc.)
•  Producing the Night Report for onboard management.
•  Reconciliation of all onboard accounting.
•  To the maximum extent possible, become aware of each guest name as soon as possible during each cruise.
•  Placing of wake up calls by using the guest names.
•  Receive all executed service checks from bars and other outlets. Posting of all charges into Fidelio for the passenger accounting. Review the signature and the register reading on each check to ensure proper account posting has been accomplished. Balance all departmental postings each day.
•  Prepares billing statements (interim, final) for all guests.
•  Credit card slips need to be sorted, checked off and a reminder letter needs to be send to guests who have not registered a Credit card for their account.
•  Filing of the daily sales checks.
•  Casino count: Witnessing and recording the Cash removed from the table drop boxes.
•  Maintain a cash float for the cashing of passenger travellers checks, making change, etc. This fund to be balanced daily. Shortages are the responsibility of the Night Auditor.
•  Ensure that all guest complaints received at the Seabourn Square are either settled immediately or referred to the management for follow up. Guests to be promptly advised of all actions taken.
•  Print and deliver daily Newspapers.
•  Ensures the Seabourn Square is set up according to Seabourn standards.
•  Generate all budget revenue reports, void logs and accounting checklists. 17. Controls gift order reconciliation sheet.
•  Providing guests with an ultimate cruise experience.
•  Follow Seabourn accounting SOPs.

A day in the life of a Night Auditor

As Night Auditor on-board a cruise ship I am in charge of the Reception Desk during the night, and so needed to have had the position of Receptionist, prior to taking this position.

I need to be able to answer questions from guests and crew, as well as being able to deal with any situation which might arise on my shift. I am the first person of contact for any problems, medical issues, arguments or fights between guests which arise.

My shift usually starts between 10pm and 11pm, and ends around 8am. Of course schedules may be adjusted according to what is needed operationally on-board the ship.

I take over from the Receptionist who has the late shift, and they brief me on the days events and on which items are still outstanding, and of what extra tasks might need to be completed that night.

My tasks include completing all the daily revenue reconciliation for the end of cruise revenue report. Each outlet on-board the ship where items are sold has a POS, where all purchases are posted. Once the venues are closed, the PO in their locations are closed. This is done by printing the daily reports of each server, and a total report of sales for this day at this specific location. The reports and all tickets signed by the guests are handed to me, or left for me at a designated location at Reception.

I will then compare the total amount of signed tickets with the total of the Revenue Report from the POS, for each server. If there are tickets missing, I must go through all postings to identify what is missing, and the server will be responsible for either handing in the ticket or paying the outstanding difference.

Then I compare the total revenue from the revenue report of the POS with the total revenue posted for this venue in the hotel program. If there are differences then I need to find them, and make the appropriate corrective postings.

Once all revenues have been compared and are matching, and the last outlet on the ship has closed, I run the 'end of day' program for all POS and revenue centers. This enables the computer systems to change to the next date of revenue.

The reports created by the me will go to the Hotel Controller, together with any special tickets (such as special cocktails not on the ship's menu. This is for the Hotel Controller to manually adjust the used beverages for this cocktail, to make sure the inventory system is up to date).

The revenue reports are kept for the Hotel Controller in order for them to keep track of the revenue of each server, and therefore for their respective salary. Another copy of my reports go to the First Purser or Chief Purser.

I am also responsible for sorting all tickets signed by guest and crew for their purchases, into the corresponding files as back up for any guest questions and supporting documentation for the ship's accounts.

Each shift is busy, different and never boring!

Dive Instructor

Job Description:  The Dive Instructor coordinates the vessel’s Sea Trek program both on the ship and on the islands. This position guides tours, provides dive and snorkelling instruction, and promotes rental equipment on the RCCL private islands.

Experience and Skills Required:  Candidates must have at least 50 scuba certifications that qualify for the PADI Open Water Scuba Instructor certificate.

International Host

Other Job Titles:  International Host (Royal Caribbean, Celebrity Cruises), Multilingual Internship (NCL)

Job Description:  The International Host assists passengers with translation services. This position provides translations for printed material such as shore excursion pamphlets, menus, and the onboard activities newsletter. The International Host also serves as a translator for public announcements and for communications between the Documentation Officer and customs and immigration officials.

Experience and Skills Required:  Candidate must speak and write fluently in English, Spanish, Italian, German, and French. Previous customer service experience is an asset. Post secondary education is preferred.

Key Accountabilities

• Be friendly to all passengers and accept that they are coming for each reason.
• Never say “NO” to a passenger, in case of critical situations call your superiors (Chief Receptionist or Chief Purser ).
• List in a clear way all the positive and negative matters which passengers bringing to you.
• Night Auditor reports to the Chief Receptionist.

Subordinate Personnel

Areas of responsibility.

• Work very close with all the other Head of Department.
• Be friendly and smart on the phone.
• Follow up the orders which are instructed by the Chief Purser – Support him/her in all requested matters (Pax comment cards – Preparation of lists – Passenger cash procedures)
• In charge for sorting the passenger cheques (control the signatures – correct amounts), but all the cheques in the right boxes for each cabin.
• Control the balance between the computer systems (mostly Micros-Fidelio)
• Prepare end of the day a back up from the computer system.
• Check work left over from the day shift.
• Report to the Chief Receptionist all the problems which are came up during the night.
• In charge of the passenger payment on disembarkation day.

Appearance/Personal Hygiene

• The appearance of the entire personnel on board the ship reflects the reputation and image of the company, therefore a great deal of emphasis is placed on a professional appearance.
• The Company expects you to maintain the highest standard of personal appearance and hygiene at all times.
• If in passenger areas full uniform is to be worn: hat, scarf, jacket, name tag, pants and proper shoes.
• Have a clean neat personal appearance.
• Special attention to grooming, hygiene care and clean and proper uniforms and shoes.
• Hair must be well groomed, neat and not extend over the shirt collar and always be kept clean.
• A moustache is acceptable if kept neatly trimmed.
• Big earrings and big necklaces are not to be worn on duty and more than one moderate size ring is not acceptable.
• Smoking is not permitted while on duty.
• Check the cleanness and the standard of your personnel uniforms.
• Don’t use too much jewellery and too much make up.
