What to look for in a Travel Management Company?

Finding the right Travel Management Company (TMC) to partner with your organization requires strategic planning, a methodical process and involvement from the right travel stakeholders.

Travel buyers are responsible for how an organization uses travel and meetings to help achieve their broader goals. Partnering with the right TMC leads to improved safety, productivity and wellbeing for business travelers and streamlined processes and cost savings for your organization.

The TMC should demonstrate broad experience in managing travel for organizations like yours. Identify the specific services you need from them, such as ability to connect travel program strategy to company mission and purpose, sector experience, hotel program expertise, sustainability, travel policy compliance, risk management, or a defined approach to Diversity, Equity and Inclusion (DE&I).

Investopedia / Joules Garcia

Travel is a major expense item for many companies, and while teleconferencing via Zoom and other online platforms may have eliminated the need for some trips, it remains essential for a wide range of business purposes, such as industry conferences and trade shows, critical sales calls, and certain meetings.

Corporate travel management (CTM) is one way that companies large and small can attempt to control and cut down on their travel costs. If you’re considering implementing a corporate travel management program for your business, here is what you need to know about how it works.

Key Takeaways

  • Corporate travel management is a way for companies to try to control their travel costs and cut back on them if necessary.
  • Some companies handle this function themselves, while others outsource it to specialist companies.
  • Corporate travel managers can be involved in setting itineraries, booking flights and hotel rooms, and managing other travel-related costs.
  • Today, many companies are concerned with not only the financial costs of employee travel but also its environmental impact.

Corporate travel management refers to processes that businesses put into place to oversee their employees’ travel and entertainment (T&E) expenses and ensure that they comply with the company’s policies. That can include approving (or rejecting) travel plans, arranging itineraries, purchasing tickets, and auditing expense reports.

A large company might have a separate department dedicated to corporate travel management, while a smaller one may assign the tasks to their human resources and accounting departments. Still others may outsource these functions to third-party travel management companies.

While the COVID-19 pandemic resulted in significant cutbacks in business travel, an October 2023 survey by the Global Business Travel Association found that 84% of companies said their business travel had “largely” or “mostly” returned to pre-pandemic levels.

Companies can choose to exert varying degrees of control over their employees’ travel, from fairly general guidelines on spending limits to very specific, step-by-step procedures, including which travel suppliers to use. Here are some of the matters they may take into consideration.

Itineraries

A business travel itinerary is a summary of a proposed trip, including travel dates and times, flight numbers, hotel bookings, meeting appointments and contact information, and so forth. Corporate travel managers may develop itineraries in collaboration with employees, making sure that each aspect complies with company policies. A written itinerary is also a handy reference for employees to bring with them on their trips.

Transportation

Corporate travel managers will often make transportation arrangements on behalf of employees, much like a travel agent might for someone’s personal vacation. Because they may control a high volume of business, they can have more leverage in negotiating with suppliers, such as airlines or rental car companies. They may also have special arrangements with certain suppliers, and the company might require its employees to use those suppliers whenever possible.

Even if they don’t have such arrangements in place or much power to negotiate prices, they may have tools at their disposal for searching out deals and discounts that individual employees don’t have. For example, they may have access to an online global distribution system (GDS), such as Amadeus, Sabre, or Travelport, allowing them to compare multiple carriers at the same time.

Accommodations

As with transportation providers, corporate travel managers can help arrange hotel bookings, often securing discounts that would be unavailable to employees individually. Hotel prices and availability are also provided on GDS platforms, which can save employees a lot of time and effort calling around to book a room.

Meetings and Events

For companies planning meetings and other events, corporate travel managers can book venues and assist attendees with their travel arrangements. Some companies may have separate travel management and event planning departments or merge the two into a single department. They can also farm out these functions to third-party companies that specialize in arranging events and have deep experience and contacts in that area.

Costs and Reporting

Since keeping costs under control is a major reason for implementing a corporate travel management program, setting spending policies and enforcing them is one of the managers’ key responsibilities. Employees must generally submit expense reports at the conclusion of their travel, which travel managers can then review.

Keeping accurate records, and receipts where necessary, is also important for tax reporting purposes. Companies can generally deduct employees’ travel expenses if they have a clear business purpose and are “ordinary and necessary” and not “lavish or extravagant.”

In many cases, companies will provide corporate credit cards for employees to use during their travels. Corporate credit cards can make it easier for companies to collect the information they need for reporting purposes, and spare employees the cost and bother of putting travel expenses on their own credit cards and having to wait for reimbursement.

Policy Compliance

Most companies of any size will have a written travel policy that they expect their employees who travel for business to become familiar with. This document will cover matters such as any required approval process before starting on a trip, spending limits, preferred travel suppliers, expenses that are reimbursable (or not), rules on the use of a corporate credit card, and how to fill out and submit an expense report at the conclusion of a trip. Written travel policies serve the dual purpose of controlling company costs and saving employees unwelcome surprises over expenses that the company won’t reimburse them for.

Beyond specific travel-related policies, corporate travel can be affected by broader company policies. For example, a 2023 Deloitte study reported, “Climate concerns will likely put a cap on corporate travel gains for several years to come. Four in 10 European companies and a third of U.S. companies say they need to reduce travel per employee by more than 20% to meet their 2030 sustainability targets.”

Travel Support and Assistance

In addition to helping employees with the logistical and financial aspects of travel, corporate travel managers can provide other forms of support, including help in a medical or other emergency. Many large corporate travel departments and third-party companies have support services available 24/7, just in case.

As mentioned, companies don’t have to take on all (or any) of these responsibilities themselves but can hire another company to handle it for them. While that represents an added cost, a company that specializes in corporate travel is likely to bring greater expertise to the role and may find cost savings that would otherwise go unnoticed.

Companies can also buy travel management software programs that allow employees to book their own travel arrangements and that may link to the company’s accounting software to simplify expense reporting. Such software can also flag and even reject any expenses that don’t comply with company rules.

If they don’t have access to professional GDS platforms, travel managers can also make use of regular consumer booking sites, such as Expedia and TripAdvisor.

Challenges of Corporate Travel Management

While corporate travel management will often benefit a company from a financial perspective, it does present challenges.

For example, because it takes away some of the autonomy that employees may have become accustomed to in planning their own trips, it can cause them to feel mistrusted or micromanaged and make travel seem like more of a burden. In addition, for corporate travel management to be effective, it requires that the people who oversee it know what they’re doing, which may require not only training but also frequent refresher courses to keep up with the rapidly changing travel industry.

A good corporate travel management policy will lay out as specifically as possible the company’s rules for arranging flights and other transportation, booking hotel accommodations, and expensing other reimbursable travel-related costs, such as meals and entertaining. Any caps on costs should be regularly revisited and revised as necessary to keep up with inflation and changes in the marketplace.

The policy should describe a clear process for having travel approved in advance, if that’s required, and submitting expense reports after the trip for timely reimbursement.

An effective policy will also strive to avoid situations in which lower-level employees feel they are subject to stricter or more penny-pinching rules than higher-ups.

Finally, it’s important that employees be encouraged to read the policy and know the rules. They may also be given the opportunity to provide feedback on ways that the rules can be improved next time the policy is revised.

Corporate travel managers not only play a role in monitoring how a company’s money is being spent and looking for ways to cut its costs. They also often have a major say in setting the company’s annual travel budget, based on previous years’ needs and anticipated pricing changes throughout the travel industry.

Today that may involve weighing in on when a virtual meeting can substitute for an in-person one. A 2023 Morgan Stanley survey of 100 global corporate travel managers found that they planned to replace 17% of their corporate travel with virtual meetings in 2024 for reasons “ranging from cost savings to lower carbon footprints.”

Why Is Corporate Travel Important?

While many companies learned during the COVID-19 pandemic that they could sometimes substitute virtual meetings for in-person ones, they have also found that travel can more than justify its cost in many instances . As Harvard Business School Associate Professor Prithwiraj Choudhury remarked in a recent interview on the university’s website, “Even in a hybrid world, even in a world of work-from-anywhere, we still need to occasionally meet colleagues in person for social purposes.” In addition, face-to-face meetings can help establish more profitable and productive relationships with a company’s key customers and suppliers.

Who Handles Corporate Travel?

Companies handle corporate travel in a variety of ways. Many have created internal departments dedicated to corporate travel management, while others outsource that role. However, many companies still leave most of the decisions to individual employees. One 2023 survey by Morning Consult Research Intelligence reported, “Over half (51%) of those who travel frequently for work book on their own using a platform of their choice.”

What Does Corporate Travel Include?

Corporate travel can include both domestic and international trips that have a business purpose. It generally doesn’t include employees’ everyday commuting. Commuting costs are not tax-deductible for employees, but companies can choose to subsidize them up to certain limits through what the Internal Revenue Service (IRS) calls qualified transportation benefits. Those benefits are not taxable to the employee, but the employer doesn’t get any tax deduction for providing them.

Corporate travel is expensive, but many companies find that its benefits outweigh the costs. Corporate travel management is one way that companies can try to keep those costs under control and get the most value from their travel budgets. While many companies have embraced corporate travel management programs, others still leave most decisions to their individual employees.

The 2024 guide to corporate travel management

What is corporate travel management, what does a corporate travel manager do.

  • Booking trips for travelers (not only c-suite executives, but employees in any role).
  • Helping individual departments track their travel spend so they can stay under budget.
  • Providing travel support to travelers before, during, or after their trip.
  • Selecting and managing any travel vendors or travel tools used.
  • Working to negotiate corporate rates on hotels that the company uses often.
  • Booking group travel.
  • Organizing ground transportation like rental cars or rail
  • Analyzing company travel spend, or delivering travel spend reports to the CFO for analysis.

What does a travel buyer do?

Stakeholders in the travel management process.

  • In-house corporate travel manager
  • Office manager or office team
  • Head of operations / COO
  • CFO and finance managers
  • Panel of frequent employee travelers
  • Current corporate travel agency or company

What solutions are companies using to book their business trips?

Consumer booking sites, traditional travel agencies, travel management software.

Traveler Street Coffee

Save your company time and money on business travel

What are the drawbacks of each solution.

  • Need to compare various websites and pay out of pocket in order to secure the best price
  • Many hidden costs, with fees for cancellations and changes
  • Many back-and-forth emails when booking for companies
  • Need to pay upfront
  • No support for issues on the road
  • Time-consuming manual reimbursing and expense tracking
  • Impossible to ensure compliance with company travel policy
  • Online booking tools are typically buggy, with bad UX
  • Employees end up calling support or book, when they’d rather save time by booking for themselves, with the options they want
  • Costly service
  • Above-market transport/accommodation prices
  • Company policy compliance is difficult to guarantee
  • Lack of travel inventory and options
  • Clunky user experience that travelers don’t enjoy
  • Offshore customer service, typically ranked as the top frustration in customer reviews
  • Often overly complicated and feature-laden
  • Impossible to control travel when travelers can’t or won’t use the tool
  • Lacks low-price flights and hotels available online
  • Impossible to guarantee company policy compliance

The pillars of modern travel management:

  • Trust – Trust travelers to book using the approved process and policy, and make it easy for them
  • Transparency – Let travelers see what they’re allowed to spend and choose accordingly, and let finance and administrative teams see what is being booked and why.
  • Simplicity – Create a process that works and meets everyone’s needs.
  • Impact – Measure the impact of business travel on the company and reduce unnecessary trips that leave travelers exhausted and businesses with needless expenses.
  • Duty of care – Ensure a thorough duty of care strategy is in place to mitigate risks for employees when traveling
  • Sustainability – Being aware of the impact of travel on the environment and adopting good practices to reduce the effect

How can a good corporate travel program help companies to save money?

Ensuring compliance with company travel policy, access to more affordable flight options, stay on top of travel spending trends, six steps to managing corporate travel effectively.

  • Choose a smart booking tool
  • Assure 24/7 travel support
  • Create policies and approval workflows
  • Organize and utilize travel spend data in real-time
  • Improve collaboration between admin and finance
  • Reduce your company’s carbon footprint

1. Choose a smart booking tool

  • Self-booking within policy – Trust your travelers to book what they need, and set up policies and parameters
  • Consolidated invoicing – The ability to get one monthly invoice for all travel from one vendor, instead of having it spread across the web
  • Travel spend reporting – Easy access for all finance and administrative team members who need to track travel itinerary details and spend by cost centers, tags or labels
  • Easy booking process that travelers love – Invoice consolidation and accurate reporting are impossible if employees want to cheat on the approved tool, so choose a tool that’s easy to use with consumer-grade UX. Make their entire travel experience, from booking to coming home, as easy and smooth as possible. Introducing a mobile app is just an added bonus!
  • Great inventory – Inventory is not a side note. Make sure the platform you use has every available option you can find online and that the company is committed to adding more inventory
  • Travel support – You need travel assistance that’s available 24/7 in your native language so that employees can get help even when the internal admin team is unavailable

2. Assure 24/7 travel support

Here are the requirements to look for in travel support:.

  • Available 24/7
  • Easy to reach a real human
  • Guaranteed follow-up and follow-through
  • Native language support
  • Fast escalation for big issues

3. Create policies and approval workflows

  • Maximum cost of airfare
  • Maximum cost per hotel per night
  • Minimum amount of days booked in advance
  • Hotel star rating
  • Flight class allowed

" "

Travel Management: The Ultimate Guide

Approval workflows.

  • No approval required for any trip
  • Approval required for some trips
  • Approval required for every trip

4. Organize and utilize travel spend data

  • Cost centers – Does your company use different payment accounts for different geographical regions? How many cost centers does the company have? Make sure that travel spend is getting charged to the right accounts and that you're making accurate expense reports.
  • Tags and labels – Beyond cost centers, are there any important filters that the finance team would have to have when viewing travel spending reports? For example, would they like each trip tagged by team or by project? Decide upfront so that the tagging system can be implemented clearly from the get-go.
  • Keep all travel in one place – to get accurate travel data, you need to keep all travel in one place—whenever possible. Work with a travel management solution that integrates with providers that matter to your company, such as budget airlines, AirBnb or European train lines. If your company has negotiated hotel rates, you want your corporate solution to be able to book those rates for you, so you don’t lose the travel data by booking directly.

5. Improve collaboration between admin and finance

  • Streamlined approvals process – If your approval process requires action from the admin and the finance team, try to make this as seamless as possible.
  • Easy access invoices – The finance team needs to grab all invoices quickly so they can reconcile expenses and set clear reimbursement processes. The best way to do this is to use a platform that consolidates travel spend into one monthly invoice.
  • Ability to track spend instantly – Consolidate all travel spend into one platform so that they can generate reports on what is being spent, by who, and why (when using tags and labels). Same as with the invoices, determine whether you need to send them a monthly report, or if they want to download it themselves.
  • Cost savings on trips – Fixing travel isn’t just about saving time. Many businesses are still using travel booking platforms that were built in the 80s and 90s. This means that they markup the inventory so that the company is paying more than a consumer would! Impress the finance team by reducing travel costs and introducing consumer-grade prices for trips.

6. Reduce your company’s carbon footprint

  • Work out your starting point by calculating your company’s travel carbon footprint
  • Design a green business travel program, which creates data-driven strategies to increase employee commitment
  • Choose economy class
  • Reduce your fuel consumption where possible
  • Pick low-emission airlines and avoid layovers
  • Vet your accommodation for sustainability practices
  • Utilize green travel tax breaks

The bottom line: it's time to upgrade your travel management

Let’s bring it all together.

  • Choose a smart booking tool – Meet everyone’s needs
  • Share the burden of travel support – Don’t try to do this alone
  • Set up cost centers and labels – Let the tool reflect the business
  • Create policies and approval workflows – Put the policy inside the booking process
  • Improve collaboration between admin and finance – Grab invoices and reports

A faulty software update issued by security giant CrowdStrike has resulted in a massive overnight outage that’s affected Windows computers around the world , disrupting businesses, airports, train stations, banks, broadcasters and the healthcare sector.

CrowdStrike said the outage was not caused by a cyberattack, but was the result of a “defect” in a software update for its flagship security product, Falcon Sensor. The defect caused any Windows computers that Falcon is installed on to crash without fully loading.

“The issue has been identified, isolated and a fix has been deployed,” said CrowdStrike in a statement on Friday . Some businesses and organizations are beginning to recover, but many expect the outages to drag on into the weekend or next week given the complexity of the fix. CrowdStrike CEO George Kurtz told NBC News that it may take “some time for some systems that just automatically won’t recover.” In a later tweet , Kurtz apologized for the disruption.

Here’s everything you need to know about the outages.

What happened?

Late Thursday into Friday, reports began to emerge of IT problems wherein Windows computers were getting stuck with the infamous “blue screen of death” — a bright blue error screen with a message that displays when Windows encounters a critical failure, crashes or cannot load.

The outages were first noticed in Australia early on Friday, and reports quickly came in from the rest of Asia and Europe as the regions began their day, as well as the United States.

Within a short time, CrowdStrike confirmed that a software update for Falcon had malfunctioned and was causing Windows computers that had the software installed to crash. Falcon lets CrowdStrike remotely analyze and check for malicious threats and malware on installed computers.

At around the same time, Microsoft reported a significant outage at one of its most used Azure cloud regions covering much of the central United States. A spokesperson for Microsoft told TechCrunch that its outage was unrelated to CrowdStrike’s incident .

Around Friday noon (Eastern time), Microsoft CEO Satya Nadella posted on X saying the company is aware of the CrowdStrike botched update and is “working closely with CrowdStrike and across the industry to provide customers technical guidance and support to safely bring their systems back online.”

What is CrowdStrike and what does Falcon Sensor do?

CrowdStrike, founded in 2011, has quickly grown into a cybersecurity giant. Today the company provides software and services to 29,000 corporate customers, including around half of Fortune 500 companies, 43 out of 50 U.S. states and eight out of the top 10 tech firms, according to its website .

The company’s cybersecurity software, Falcon, is used by enterprises to manage security on millions of computers around the world. These businesses include large corporations, hospitals, transportation hubs and government departments. Most consumer devices do not run Falcon and are unaffected by this outage.

One of the company’s biggest recent claims to fame was when it caught a group of Russian government hackers breaking into the Democratic National Committee ahead of the 2016 U.S. presidential election. CrowdStrike is also known for using memorable animal-themed names for the hacking groups it tracks based on their nationality, such as: Fancy Bear , believed to be part of Russia’s General Staff Main Intelligence Directorate, or GRU; Cozy Bear , believed to be part of Russia’s Foreign Intelligence Service, or SVR; Gothic Panda , believed to be a Chinese government group; and Charming Kitten , believed to be an Iranian state-backed group. The company even makes action figures to represent these groups, which it sells as swag .

CrowdStrike is so big it’s one of the sponsors of the Mercedes F1 team , and this year even aired a Super Bowl ad — a first for a cybersecurity company.

Who are the outages affecting?

Practically anyone who during their everyday life interacts with a computer system running software from CrowdStrike is affected, even if the computer isn’t theirs.

These devices include the cash registers at grocery stores, departure boards at airports and train stations, school computers, your work-issued laptops and desktops, airport check-in systems, airlines’ own ticketing and scheduling platforms, healthcare networks and many more. Because CrowdStrike’s software is so ubiquitous, the outages are causing chaos around the world in a variety of ways. A single affected Windows computer in a fleet of systems could be enough to disrupt the network.

TechCrunch reporters around the world are seeing and experiencing outages, including at points of travel, doctors’ offices and online. Early on Friday, the Federal Aviation Administration put in effect a ground stop, effectively grounding flights across the United States, citing the disruption. It looks like so far the national Amtrak rail network is functioning as normal.

What is the U.S. government doing so far?

Given that the problem stems from a company, there isn’t much that the U.S. federal government can do. According to a pool report, President Biden was briefed on the CrowdStrike outage, and “his team is in touch with CrowdStrike and impacted entities.” That’s in large part because the federal government is a customer of CrowdStrike and also affected.

Several federal agencies are affected by the incident, including the Department of Education , and Social Security Administration, which said Friday that it closed its offices as a result of the outage.

The pool report said Biden’s team is “engaged across the interagency to get sector by sector updates throughout the day and is standing by to provide assistance as needed.”

In a separate tweet, Homeland Security said it was working with its U.S. cybersecurity agency CISA, CrowdStrike and Microsoft — as well as its federal, state, local and critical infrastructure partners — to “fully assess and address system outages.”

There will no doubt be questions for CrowdStrike (and to some extent Microsoft, whose unrelated outage also caused disruption overnight for its customers) from government and congressional investigators.

For now, the immediate focus will be on the recovery of affected systems.

How do affected customers fix their Windows computers?

The major problem here is that CrowdStrike’s Falcon Sensor software malfunctioned, causing Windows machines to crash, and there’s no easy way to fix that.

So far, CrowdStrike has issued a patch, and it has also detailed a workaround that could help affected systems function normally until it has a permanent solution. One option is for users to “reboot the [affected computer] to give it an opportunity to download the reverted channel file,” referring to the fixed file.

In a message to users , CrowdStrike detailed a few steps customers can take, one of which requires physical access to an affected system to remove the defective file. CrowdStrike says users should boot the computer into Safe Mode or Windows Recovery Environment, navigate to the CrowdStrike directory, and delete the faulty file “C-00000291*.sys.”

The wider problem with having to fix the file manually could be a major headache for companies and organizations with large numbers of computers, or Windows-powered servers in datacenters or locations that might be in another region, or an entirely different country.

CISA warns that malicious actors are ‘taking advantage’ of the outage

In a statement on Friday, CISA attributed the outages to the faulty CrowdStrike update and that the issue was not due to a cyberattack. CISA said that it was “working closely with CrowdStrike and federal, state, local, tribal and territorial partners, as well as critical infrastructure and international partners to assess impacts and support remediation efforts.”

CISA did note, however, that it has “observed threat actors taking advantage of this incident for phishing and other malicious activity.” The cybersecurity agency did not provide more specifics, but warned organizations to stay vigilant.

Malicious actors can and will exploit confusion and chaos to carry out cyberattacks on their own. Rachel Tobac, a social engineering expert and founder of cybersecurity firm SocialProof Security, said in a series of posts on X to “verify people are who they say they are before taking sensitive actions.”

“Criminals will attempt to use this IT outage to pretend to be IT to you or you to IT to steal access, passwords, codes, etc.,” Tobac said.

What do we know about misinformation so far?

It’s easy to understand why some might have thought that this outage was a cyberattack. Sudden outages, blue screens at airports, office computers filled with error messages, and chaos and confusion. As you might expect, a fair amount of misinformation is already flying around , even as social media sites incorrectly flag trending topics like “cyberattack.”

Remember to check official sources of news and information, and if something seems too good to be true, it might just well be.

Mass IT outage: here's a list of companies and operations affected

  • A huge global IT outage is disrupting flights, banks, retailers, and media outlets.
  • The widespread disruptions have been linked to an issue with the cybersecurity firm CrowdStrike.
  • Operations affected include airlines in the US and Europe, supermarkets, and some 911 lines.

Insider Today

A mass IT outage has hit flights, banks, retailers, and media outlets around the world.

The issues appear to be linked to the cybersecurity firm CrowdStrike .

Microsoft also acknowledged the issue in an X update early Friday, writing, "Our services are still seeing continuous improvements while we continue to take mitigation actions."

Here are some of the companies and operations affected.

Numerous airlines grounded flights early Friday morning, including the big three US carriers: United Airlines, Delta Air Lines, and American Airlines. In statements, they all cited technology issues.

Delta and American had both canceled their ground stops by 7 a.m. ET.

A United spokesperson told Business Insider that it was holding all aircraft at their departure airports while it works to restore systems. "Flights already airborne are continuing to their destinations," they added.

American has blamed the issues on CrowdStrike, saying they were because of a "technical issue with Crowdstrike that is impacting multiple carriers," according to BBC News.

The budget airlines Frontier, Allegiant, and Spirit also issued ground stops which were later canceled.

Frontier's was issued on Thursday night. "Flight operations are currently being impacted by a major Microsoft technical outage," it said in a statement.

Spirit said it was unable to rebook affected customers because of the outage.

Disruption also extended to Europe. The continent's largest airline, Ryanair, advised passengers to arrive early as the outage caused "disruption across the network."

KLM also said it had to "largely suspend operations" as the outage made "flight handling impossible."

British Airways, Wizz Air, Turkish Airlines, Eurowings, Lufthansa, and Qantas were also among those who said they were affected.

According to a Facebook post from Alaska State Troopers , emergency lines in the state are also affected.

The post said: "Due to a nationwide technology-related outage, many 911 and non-emergency call centers are not working correctly across the State of Alaska."

"We appreciate your patience and will update you when we know more," the statement added.

The major UK airports Heathrow, Gatwick, and Luton have reported issues, with some warning of delays and disruption.

Related stories

An X post from Gatwick Express , a train service for the airport, said the company was unable to access driver diagrams at certain locations, "leading to potential short-notice cancelations, particularly on the Thameslink and Great Northern networks."

A spokesperson for Belfast International Airport confirmed to BI that whiteboards were being used to handwrite flight information before systems were later restored. Whiteboards were also used at Singapore Changi Airport.

Hospitals and doctors' surgeries

Several hospitals and doctors' practices appear to have been affected by the outage.

In the UK, the NHS' EMIS system, which doctors use to book appointments, view patient notes, order prescriptions, and make referrals, appears to be having issues .

A spokesperson for the NHS told BI in a statement: "The NHS is aware of a global IT outage and an issue with EMIS, an appointment and patient record system, which is causing disruption in the majority of GP practices."

They said that long-standing measures were in place to manage disruption and that there was no known impact on 999 or emergency services, so people should use these services as normal.

"Patients should attend appointments unless told otherwise and only contact their GP if it's urgent, and otherwise please use 111 online or call 111," they added.

Two German hospitals canceled elective operations scheduled for Friday, Reuters reported.

NYCT Subway

Commuters in New York City and DC may also face delays Friday morning.

In an X post, the NYCT subway said: "Train arrival information is unavailable for A/B/C/D/E/F/G/J/M/N/Q/R/Z/Rockaway Park Shuttle/Franklin Av Shuttle due to a worldwide technical outage. Train service is unaffected."

The post said the tech outage also impacted Subway officials' ability to see train locations.

Broadcasters

Sky News also appears to have been hit by the outage. The UK news channel has been showing archive footage and briefly displaying an error message.

The news site appears to be up and running at the time of writing.

London Stock Exchange

The London Stock Exchange's website was also experiencing issues.

"RNS news service is currently experiencing a third-party global technical issue, preventing news from being published on www.londonstockexchange.com ," the company said in a statement.

"Technical teams are working to restore the service. Other services across the group, including London Stock Exchange, continue to operate as normal," it continued.

Retailers and fast-food giants

Bloomberg reported that McDonald's Japan suspended about a third of its stores in the country on Friday. The issue was with the stores' cash registers, the report said.

The grocery-store chain Woolworths told BI that some stores had "been impacted as a result of the global IT issue." All but six stores were open for business, but some had fewer functioning checkouts.

Delivery delays

FedEx and UPS are warning of delivery delays because of the outage.

In a statement on the company's website , FedEx said it was experiencing "substantial disruptions throughout our networks due to a global IT outage experienced by a third-party software vendor." The company said parcels due to be delivered on Friday might face delays.

A UPS spokesperson told BI that it continues to operate effectively but there may be some service delays due to third-party outage "impacting some UPS computer systems in the U.S. and Europe."

Some US state driver services are down

Drivers in some states are unable to access services because of the outage.

Georgia's Department of Driver Services posted on X that "due to the global Microsoft/Crowdstrike outage, DDS services are unavailable at this time."

Tennessee's Department of Safety and Homeland Security said some Driver Services Centers may not be able to process transactions, according to a post on X.

North Carolina's Department of Motor Vehicles driver license and plate agencies are also impacted and unable to assist customers, according to a CNN report.

Bloomberg reported that at the Ocean Park Marriott in Hong Kong, staff were using pen and paper to check guests in and said the outage was affecting their systems globally.

Marriott International later told CNN in a statement that "certain hotel systems" have been affected.

"We are actively working with our vendors to resolve issues that have impacted certain hotel systems," the company said in a statement to the publication. "We apologize for any inconvenience that guests may experience."

Chaos and Confusion: Tech Outage Causes Disruptions Worldwide

Airlines, hospitals and people’s computers were affected after CrowdStrike, a cybersecurity company, sent out a flawed software update.

Airlines grounded flights. Operators of 911 lines could not respond to emergencies. Hospitals canceled surgeries. Retailers closed for the day. And the actions all traced back to a batch of bad computer code.

A flawed software update sent out by a little-known cybersecurity company caused chaos and disruption around the world on Friday. The company, CrowdStrike , based in Austin, Texas, makes software used by multinational corporations, government agencies and scores of other organizations to protect against hackers and online intruders.

But when CrowdStrike sent its update on Thursday to its customers that run Microsoft Windows software, computers began to crash.

The fallout, which was immediate and inescapable, highlighted the brittleness of global technology infrastructure. The world has become reliant on Microsoft and a handful of cybersecurity firms like CrowdStrike. So when a single flawed piece of software is released over the internet, it can almost instantly damage countless companies and organizations that depend on the technology as part of everyday business.

“This is a very, very uncomfortable illustration of the fragility of the world’s core internet infrastructure,” said Ciaran Martin, the former chief executive of Britain’s National Cyber Security Center and a professor at the Blavatnik School of Government at Oxford University.

A cyberattack did not cause the widespread outage, but the effects on Friday showed how devastating the damage can be when a main artery of the global technology system is disrupted. It raised broader questions about CrowdStrike’s testing processes and what repercussions such software firms should face when flaws in their code cause major disruptions.

How a Software Update Crashed Computers Around the World

Here’s a visual explanation for how a faulty software update crippled machines.

While outages are common, often caused by technical errors or cyberattacks, the scale of what unfolded on Friday was unparalleled.

“This is historic,” said Mikko Hypponen, the chief research officer at WithSecure, a cybersecurity company. “We haven’t had an incident like this.”

George Kurtz, CrowdStrike’s chief executive, said that the company took responsibility for the mistake and that a software fix had been released. He warned that it could be some time before tech systems returned to normal.

“We’re deeply sorry for the impact that we’ve caused to customers, to travelers, to anyone affected by this,” he said in an interview on Friday on NBC’s “Today” show.

Satya Nadella, Microsoft’s chief executive, blamed CrowdStrike and said the company was working to help customers “bring their systems back online.” Apple and Linux machines were not affected by the CrowdStrike software update.

A White House official said the administration was in “regular contact” with CrowdStrike and had convened agencies to assess the impact of the outage on the federal government’s operations.

CrowdStrike, founded in 2011 by Mr. Kurtz and others, has built a reputation over the years as a firm that could solve even the toughest security problems. It was tapped to investigate a 2014 hack of Sony Pictures and the 2016 hack of the Democratic National Committee, which exposed Hillary Clinton’s emails.

But problems stemming from CrowdStrike’s products have surfaced before. In April, the company pushed a software update to customers running the Linux system that crashed computers, according to an internal CrowdStrike report sent to customers about the incident, which was obtained by The New York Times.

The bug, which did not appear to be related to Friday’s outage, took CrowdStrike nearly five days to fix, the report said. CrowdStrike promised to improve its testing process going forward, according to the report.

On Thursday, the tech issues began when Microsoft dealt with an outage on its cloud service system, Azure, which affected some airlines .

Then CrowdStrike sent an update for its software called Falcon Sensor , which scans a computer for intrusions and signs of hacking. If everything had gone according to plan, CrowdStrike’s software would have received minor improvements and customers would have hardly noticed.

Instead, when CrowdStrike’s faulty update reached computers running Microsoft Windows, it caused the machines to shut down and then endlessly reboot. Workers around the world were greeted with what is known as the “blue screen of death” on their computers. Insufficient testing at CrowdStrike was a likely source of the problem, experts said.

As computers restarted themselves over and over, known as the “doom loop,” there was little CrowdStrike could do to fix the problem. Tech staff at affected companies were faced with a choice: walk around to each machine and remove the bit of flawed code, or wait and hope for a solution from CrowdStrike.

The problems cascaded instantly. At Sydney Airport in Australia, travelers encountered delays and cancellations, as did those in Hong Kong, India, Dubai, Berlin and Amsterdam. At least five U.S. airlines — Allegiant Air, American, Delta, Spirit and United — grounded all flights for a time, according to the Federal Aviation Administration.

Health care systems were crippled, forcing hospitals to cancel noncritical surgeries. In the United States, 911 lines went down in multiple states, though many of those problems were being resolved later on Friday. Britain’s National Health Service also reported issues.

“We knew we had a catastrophe on our hands,” said B.J. Moore, the chief information officer for Providence Health, which has 52 hospitals in seven states. He said 15,000 servers were down and 40,000 out of Providence’s 150,000 computers were affected, adding that it was “worse than a cyberattack."

The United Parcel Service and FedEx said they were affected. Customers with TD Bank, one of the biggest banks in the United States, reported issues accessing their online accounts. Several state and municipal court systems closed for the day because of the outage.

At CrowdStrike, engineers described an atmosphere of confusion as the company struggled to contain the damage.

Executives urged employees not to speculate on why the mistake happened and directed them to focus on a fix for the computers that were affected, said two engineers who spoke on condition of anonymity because they were not authorized to speak publicly. Computers not connected to the cloud required a physical fix to the error introduced by CrowdStrike, they said, which could take weeks.

Within several hours of the faulty software going out, CrowdStrike sent out a software patch as a fix that would stop computers from endlessly rebooting.

Lukasz Olejnik, an independent cybersecurity researcher and consultant, said the outage would still take time to resolve because a suggested solution for some organizations involved rebooting each computer manually into safe mode, deleting a specific file and then restarting the computer.

While that is a relatively straightforward process, security experts said, it may not be easy to do at scale. Those with organized and well-staffed information technology teams could potentially fix the issues more quickly, Mr. Olejnik said.

Unlike the iPhone software updates that Apple sends to customers, the incident highlighted information technology systems that operate in the background. The CrowdStrike issues were compounded because the software being updated performed critical cybersecurity tasks, giving it access to scan a computer to look for viruses and other malicious attacks.

Cybersecurity tools operate quietly in the background to defend computers against attacks. The software is frequently updated with new defenses as hackers develop fresh methods of attack, but constant updates mean there are many opportunities for mistakes to happen.

“One of the tricky parts of security software is it needs to have absolute privileges over your entire computer in order to do its job,” said Thomas Parenty, a cybersecurity consultant and a former U.S. National Security Agency analyst. “So if there’s something wrong with it, the consequences are vastly greater than if your spreadsheet doesn’t work.”

On Friday, the stock price of CrowdStrike, which reported $3 billion in annual revenue last year, closed down 11 percent.

CrowdStrike’s stock price so far this year

The company faces questions about what liabilities it and other software makers face for major disruptions and cybersecurity incidents. The consequences for significant outages can be so minimal that companies are not motivated to make more fundamental changes, experts said. While a car manufacturer would face stiff penalties for faulty brakes, a software provider can often issue another update and move on.

“Until software companies have to pay a price for faulty products, we will be no safer tomorrow than we are today,” Mr. Parenty said.
